Payroll and HR

Connect employees, payroll controls, and finance

Simor ERP provides a controlled payroll workflow with employee records, configurable pay components and calculations, audit and compliance-oriented reporting, employee self-service, and connected accounting.

The operational challenge

Why teams look for a better system

Payroll risk increases when employee information, calculations, approvals, remittances, year-end review, time off, and general-ledger posting are spread across manual files and isolated tools.

Simor Soft solution

Simor ERP centralizes employees, assignments, configurable payroll components and calculations, payroll runs, audit and compliance-oriented reports, portals, and payroll journals.

Provincial, federal, organizational, and collective-agreement rules vary and change. Applicable calculations, settings, reports, and exports are configured for the agreed implementation and must be validated by the customer's qualified payroll or accounting personnel before production use, remittance, or filing.

Core capabilities

What the solution covers

Capabilities are connected through shared data, permissions, traceability, and reporting - not presented as isolated feature checklists.

  • Employee profiles and payroll assignments
  • Configurable earnings, deductions, and payroll components
  • Payroll runs, calculations, reports, and audit review
  • Configurable jurisdictional settings and year-end review support
  • My Pay and My Time Off employee portals

How it works

A workflow your team can follow

Maintain the employee and assignment, calculate a payroll run using configured components, review exceptions and compliance reports, approve and post the run, create the accounting impact, and make the appropriate information available through employee portals.

Outcome

A clearer payroll audit trail

Outcome

Less manual transfer into accounting

Outcome

Better employee access to pay and leave information

Outcome

Configurable workflows as policies change

Customization

Adapt the system without losing control

Pay components, approval chains, reports, provincial or organizational fields, portal experiences, time-off policies, exports, and integrations can be adapted to the employer's requirements.

Discovery, design, implementation, testing, data migration, deployment, training, and ongoing enhancement can be delivered as one managed engagement.

Payroll and HR integration

Connect employee changes to payroll and accounting

ERP payroll integration should preserve the path from an authorized employee change to calculation, review, payment output, remittance records, employee documents, journal entries, and year-end reporting. Re-entering the same employee, department, earning, benefit, leave, or cost allocation in separate systems creates timing differences that are difficult to explain after a payroll run closes.

Build a Canadian payroll control cycle

Canadian payroll configuration can involve federal and provincial requirements, deductions, benefits, vacation, remittances, records of employment, final pay, and year-end information. Requirements and deadlines can change. Employers should validate configuration and operating procedures against current government guidance and qualified professional advice; software supports the evidence but does not replace that responsibility.

Each payroll run should begin with a defined employee population and cut-off. Validate new hires, terminations, status changes, banking changes, missing time, unusual earnings, negative or zero net pay, duplicate records, retroactive adjustments, and differences from the prior run. A reviewer should understand the reason for material variances before payment output is released.

Scenarios to test before production

  • New employee starting partway through a pay period with benefit eligibility on another effective date.
  • Approved leave, return from leave, overtime, correction, and retroactive rate change.
  • Resignation or termination requiring final pay, vacation treatment, and an ROE workflow.
  • Off-cycle correction after the original payroll was finalized and posted to accounting.
  • Year-end adjustment that must reconcile to employee, remittance, journal, and reporting records.

Requirements for municipal and multi-department payroll

The GSC query for this page includes municipal payroll and HR ERP in Canada. A municipal or other multi-department employer may need bargaining units, multiple assignments, cost centres, job rates, effective-dated rules, complex leave, approval by department, restricted employee information, and traceable allocation into finance. These are requirements to validate, not assumptions that one template fits every organization.

Define whether one employee can hold several jobs or rates in the same period and how time, benefits, deductions, leave, and costs follow those assignments. Test transfers between departments, acting assignments, retroactive agreements, and corrections after a fiscal or payroll period closes. Role-based access should separate HR, payroll, supervisors, finance, employees, auditors, and technical administrators.

Evidence for an ERP payroll integration review

  • One employee change enters through an approved owner and reaches the next payroll correctly.
  • Time, leave, benefit, and payroll totals reconcile before and after integration.
  • A rejected or late record becomes visible to an accountable person instead of disappearing.
  • Payroll journals balance and preserve department, project, or other approved dimensions.
  • Employee self-service exposes only the worker's authorized payslips, pay information, and leave.

Operate payroll integrations through exceptions and recovery

Track every exchange with a stable employee and transaction identifier, source timestamp, payroll period, processing status, and final reference. Separate an unavailable service from invalid employee data, a closed period, denied access, and a calculation exception. Automatic retries should be bounded and safe from duplicate creation.

Reconciliation should compare employee counts, gross pay, deductions, benefits, net pay, remittance totals, payment output, and journal totals according to the approved design. Support staff need a controlled way to investigate, correct, replay, or reverse without editing finalized history informally.

Canadian payroll control

Keep employee data, payroll runs, and year-end work connected

Payroll controls should make each calculation reviewable before payment and each reporting period easier to close.

Employee setup

Maintain assignments, earnings, deductions, benefits, banking details, tax settings, and effective dates in one governed record.

Run validation

Review exceptions, totals, approvals, payment outputs, and accounting entries before a payroll run is finalized.

Year-end readiness

Support reconciliation and T4 preparation with traceable payroll history and controlled adjustments.

Review Simor ERP payroll as a working product

Simor ERP covers employees, benefits, payroll runs, remittances, compliance-oriented workflows, final pay, ROE, year-end, time off, leave policies, holiday calendars, payroll reports, employee payslips, and the connection to journal entries and financial reporting. The live product can be reviewed with a representative employee and payroll scenario before configuration or customization is agreed.

Simor Soft can adapt fields, formulas, approval paths, reports, portal experiences, exports, accounting dimensions, and integrations around the employer's validated process. Software engineers and QA reviewers can test calculation boundaries, access, effective dates, exceptions, reconciliation, deployment, and support. A focused payroll or employee workflow can also be developed when that is a better fit than a broader rollout.

Protect payroll and employee information by role and purpose

Payroll data includes sensitive identity, banking, compensation, tax, benefit, leave, and employment information. Define access by job responsibility, organizational scope, action, and record type. The ability to administer users or support the application should not automatically grant access to employee compensation or payment details.

Test HR, payroll processor, payroll approver, manager, finance, employee, auditor, and technical support roles separately. Include direct URLs, reports, exports, APIs, background processes, and temporary support access. Record high-risk changes such as banking details, pay rates, deduction rules, role assignments, payroll reopening, manual calculation overrides, and finalization.

Payroll continuity and recovery

Document cut-off dates, backup, payment deadlines, remittance dependencies, critical contacts, alternate procedures, and the authority to delay or release a run. Rehearse an unavailable integration, rejected payment file, calculation defect, missing time feed, and restoration from backup. Recovery must preserve which version of employee data and rules produced the final result.

After release, monitor correction rate, off-cycle runs, late changes, unresolved exceptions, approval time, integration failures, journal reconciliation, employee inquiries, and support effort. Compare these measures with a baseline and investigate changes by payroll period, department, and exception reason rather than assuming every difference is a software problem.

Keep payroll calendars, rule effective dates, approval deadlines, and period locks visible to the responsible teams. A late change should enter a controlled correction or next-run process rather than silently altering a finalized result.
